Prefilling Customer Data: Provenance, Consent and Correction

Prefilling customer data can reduce repeated entry, but it introduces a responsibility to show where information came from and let the applicant correct it. An existing value should not be treated as verified merely because it appeared before the form was opened.
Keep provenance with the value
Record whether a field came from an earlier application, an internal record or an external source. Retain the retrieval or capture date where it matters to review. A contact address and a registered business address may have different meanings.
Separate the value presented to an applicant from the source record. If the applicant corrects it, preserve the correction and its context rather than overwrite every historical record.
Let the applicant review and correct
Make prefilled fields readable and explain which can be changed. Do not hide important information in a disabled field that an applicant cannot resolve. Provide a path for mismatches and missing evidence.
If a changed answer affects later questions, evaluate those dependencies again. A prefilled owner or bank-account detail should not cause stale attachments or earlier checks to be silently reused.
Control delivery and access
Associate the invitation or application link with the intended workflow and access model. Avoid placing sensitive values in a URL or broad-access message. A forwarded link should not expose a record merely because it was convenient to share.
Confirm how staff revoke or update access when an invitation goes to the wrong recipient. Log the action without copying unnecessary sensitive content into the log.
Link the reviewed version to the decision
Keep an application identifier, source values, applicant corrections and the version reviewed. If signing is required, connect it to the relevant declaration and data version. A completed invitation is not the same as an approved account.
These are general design principles, not instructions for a currently offered Under application platform. A useful prefill process makes the source, correction and review of each important value visible.
